Digital patient transport reimbursement for Region Zealand

From paper stacks to a digital solution

Have you ever imagined how many forms and receipts a patient used to handle just to get reimbursed for transport to and from hospital appointments?  

Across in all Danish regions, patients had to manage physical paperwork and submit it during their hospital visits. This manual process not only made life more difficult for patients but also placed a heavy administrative burden on hospital staff and the region’s transport reimbursement team. Could this complex and time-consuming workflow be simplified and improved? 

The challenge: Why Region Zealand needed a change

Region Zealand set out to modernize a system that was outdated and inefficient. The process for applying for patient transport reimbursement involved paper forms, manual checks, and entering data into multiple systems. Each application required staff to look up data in as many as six different systems, and decisions were only communicated if the application was rejected. The target group was patients eligible for transport reimbursement, often individuals with limited mobility or in poor health.  

There was a clear opportunity to simplify and improve the process. Region Zealand wanted a solution that could: 

  • make it easier for eligible patients to apply for transport reimbursement 
  • reduce manual case handling and processing time 
  • calculate reimbursements using accurate, up-to-date information 
  • support consistent decisions based on eligibility criteria 
  • give patients digital access to their application status 
  • comply with applicable Danish legislation 

The solution: Automated transport reimbursement

In close collaboration with Region Zealand, Trifork adapted a fully digital solution for managing patient transport reimbursement. The system automates much of what was previously handled manually, helping ensure that reimbursements are calculated correctly and fairly.

The technology behind the platform

The platform is built on .NET, uses Microsoft SQL Server for data management, features Angular-based web interfaces, and the solution supports both staff and patient access. Internal system integrations are handled through BizTalk, which helps streamline workflows across departments.

Since the solution went live, Region Zealand has significantly reduced the time required to process applications for patient transport reimbursement. 

Automated validation and checks against eligibility and legal criteria help reduce errors and support accurate decisions. Employees spend less time searching across systems and handling paperwork, while patients benefit from a simpler application process and greater visibility into the status of their case.
